KDAC Wednesday, May 22, 2024 3:00-4:30pm  Attended:  Andrea Callicutt, Barnaby Camp, Kyle Honeycutt, Amy Elakman, Jesse McGarity, Dan Malosh, Katy Patrick, Sarah Smedley 
Meeting Notes: 1.     IRC / Generally Applicablea.     Completed MatRequest/Acquisitions Development:                                                             
i.      Added changes to pay and credit to allow more types. – Pay can now breakdown type of payment it is – credit card, check or grant etc. Credit – can now breakdown different types of credit.                                                           
ii.      Added a payment report – now is a report to show you all of the payments made in a certain period. Those are both functions to go into supporting people who invoice their customers or patrons for things for them Braille production. 
Fixed Patron Module Issues including:  i.  Patron window & RS Queue were faster after 7.8.13.  Other programs were affected. – Server migration for some customers from larger servers to the Micro VM’s introduced a resource problem. When they were on a shared server, some customers were able to go out and grab a bunch of resources like CPU and memory and get things to run pretty fast.  Then it would release those resources so nobody knew what was going on because it would release the resources.  When they went to a smaller server, those resources were no longer available because they had a smaller CPU and less memory.  Server was sized for that customer’s database, but just the way they used KLAS, they were making heavy use of the Reader Service Ques and Queries. Discovered performance issues in queries. Resized them to a server four times the size they needed which was a temporary solution so they could fix the performance issues. Fixed the performance issues, but this changed some functions around the patron window that they did not realize were using the data source the way they were. This resulted these functions to stop working or malfunction. The rest of this list are the functions they had to repair.                                                          
ii.      RS Queue - was not sorted by patron ID                                                        
Iii.      Quick Request - was not defaulting to the current patron                                                         
iv.      Quick preference - sometimes showed all patrons’ preferences after adding preferences.                                                           
v.      Web Order - could not update patrons                                                         
vi.      Deleting patron - removed a record that kept any patrons from being able to be seen.                                                      
vii.      Adding a patron caused a problem where adding a child record could jump to the wrong record                                                    
viii.      Had to press next twice to get past the current patron (or prev had to be pressed twice)                                                         
ix.      Restore deleted patron stopped working                                                           
x.      All PDQs were not working properlyc.     
Upcoming Materials Request Development                                                             
i.      Generate invoice – major functions that was under development for a while. Forward customer facing thing.                                                           
ii.      Tokens on packing slip for tracking numbers – add the tracking number to the email.                                                        
iii.      Add attachments to MR event emails – want to attach the uploaded documents.                                                         
iv.      Restore child patron for viewing on line detail – thought was only one student on the Mat request.  KLAS the ability to have more than one student.  They took it away, but a customer was taking advantage of more than one student on a Mat request.  They could not see their data. 2.     LBPD Applicablea.    
Completed Serials Development: - Katy has been working on program development for a while. This is needed to transition everyone from NLS MOC to being able to do MOC’s at their library.                                                             
i.      Created a batch cancel pat subscription function.                                                           
ii.      Created Batch Seed serials programs and released. – This will create the serial reserves for latest issues out to subscribers. This will seed all serials.                                                        
iii.      Later found Batch seed serial- crashed in libraries with many subscribers.  This is resolved now.                                                         
iv.      Batch created dup order from service queue - can limit by medium now                                                           
v.      Batch load edocs supports serials from NLS rysync now.                                                         
vi.      Created program to copy NLS serials titles from a library’s direct magazines.                                                      
vii.      Created a program to copy pat subscriptions from a library’s direct magazine subscribers.                                                    
viii.      System-wide things:                                                         
ix.      Can copy and paste in password fields                                                           
x.      Added some validation and fixed a bug that caused excessive log entries to be written to server log file.
b.    Completed Scribe Development:                                                             
i.      Links to help file on web monitor page. – There is a link on the web monitor page for troubleshooting.  This will be helpful to everyone.                                                           
ii.      Reduced Chattiness for monitor.  Monitor was sending a lot of character back and forth. Got this more resource aware.  Took all of the white space out which cut the amount of network traffic in half. Upcoming – will decreased the amount of when the Scribe is syncing. It will be able to detect when the Scribe is in active use and it is not.  It will synch once an hour.  Right now, it is syncing every few minutes. 
c.      Upcoming Serials Development                                                             
i.      Make manual reserves go to queue immediately.                                                           
i.      Support multi-branch service better without need for external programs.                                                        
iii.      Add ability to reserve specific issues/back issues – Currently, available on the Serials module side. You can go to request tab and add a serials for a specific issue.  There is no way to do this from the patron side. Working on adding this.                                                          
iv.      Add control of how far back new subscribers are started (0 up to the retained)                                                           
v.      Fix the serials edocs tab. – The edocs tab was not built in the anticipation of the many edocs we have for the many serials put out monthly, bimonthly or weekly. Not displaying all of the edocs. All of the edocs are there, but they do not show up on the tab. There is a work around for how you can see them, sort by descending then the last edocs will be displayed.                                                         
vi.      Bug fixes as reported.Dan – Is there going to be any changes to the user interface? Still going to have the tree until KLAS v 16 divided by 2 comes out.  Katy – Accessing the tree is on the list, does not know the priority.  Not sure when this will be tackled.  Kyle – There is a plan to get rid of the tree. Make it be more of a window type like patron or catalog window.  We do have to make this change.  More serials are coming which means the tree will be too slow.  It is on the road map to be done some time this year.Jesse asked a question about AARP magazine.  It does not have any issues.  Katy - It is still current.  It just needs a fix to the captions or call number.  She will sometime get back to the early serial customers and apply the fixes or at least do a good write up so you can them yourselves.  If you want to give it a shoot , take a look at caption tab for one of your serials that has issues and copy that same kind of pattern onto the title bib tab. She posted this in the chat:DBaarp_@chron1@-@chron2@. Make this pattern active.  Active is not necessary for the magazine to go out.  Katy is going to do a workshop on serial soon.Dan – What does SDS mean? Serials Digital Serialsd.    
Upcoming Duplication on Demand Development                                                             
i.      Gutenberg sync — force it to give you different media as different batches, pause the stuff in KLAS that you do not synced to Gutenberg, then when you are ready to duplicate it,  there is a program to unpause the stuff matching a certain criteria. Then when done duplication, there is another program to turn the regular sync back on. Doing this for Braille and DB, it gets annoying really fast. 1.     Need to get the control screen in place soon – Get a gatekeeper program.  (Dan – program should be called Zuul.) This are the types of orders we want to sync to the Gutenberg, we want this medium and this type.  This will make it a lot easier to control what is being synced to your Gutenberg.2.     Change Gutenberg assign to be consistent with Scribe, and can update next service date more timely. – Program that assigns orders for Scribe that creates a mail card, for Gutenberg they are given the assigned status once they are synced. That is not triggering the other stuff that happens with assignment.  For example, for calendar service type, once it assigns something, it sets the next service date, but right now there is nothing in the Gutenberg that does this.                                                             
ii.      Scribe — cartridge repair modeDan – asked NLS is there a way to put the Gutenberg on a thumb drive. This way more than one person could be checking in books. Is it possible to do that in KLAS or does it have to go through Gutenberg? Kathy – there is no way books could be checked in without going through Gutenberg.   Kyle agreed.  He is going to check the API to see if they gave us check-in mode or check-in in point. You can run more than one Gutenberg. Katy – possible, but doubtful.
e.     Upcoming PIMMS Development                                                             
i.      Change so that institution’s get a first and last name of a person sent if an email is sent to PIMMS, which causes NLS to sign up the institution for BARD – If you put an email in for an institution, Keystone has been asked to send in first and last name of person that received the email.  Name is the name of the responsible person.Barnaby – just put up a BARD account for an institution that we signed up.  Under BARD, first name and last name is listed as place holder right now. Contact name is someone at the institution.                                                            
ii.      Change the PIMMS API interaction so that KLAS will be logging in using the AAA server. – NLS has authentication server called AAA. This change will impact everything when it is made.  It will be a gradual transition.  NLS will keep the older API for a while. Should not be too much of a challenge for Keystone.
f.       Upcoming iCanConnect Development                                                             
i.      Migrated PNDB to new server – not migrated yet because they need to do some additional testing to make sure KLAS will connect and work.                                                             ii.      Add some dates information need in RolkaLoube API – That is the big API that the Deaf Blind program has to report to the FCC.  Need some additional date fields so they have got to set aside some time to add these into the API.  Dateline is July 1, 2024 which is the fiscal year for this program.  Need to iron out somethings.  Should be done within a week.3.     KDAC Suggestion Itemsa.     CSV files instead of web browser – Kyle – they went with web browser – started out with reports and how to get the report output from the server to the client. Run over a wider area over the internet instead of a local internet.  Web browser was chosen and they use HTML. HTML is accessible with screen readers.  Can learn HTML and be able to generate customer report output.  HTML can be customized. Theatrically possible to create CSV files, but they have never done that.b.     Query specific tab on KLAS Users – have it on the top with the other tabs like Forum etc.  Katy – was working on a queries manual but has been swallowed by other projects, but can add the Knowledgebase a tag for queries and make sure the appropriate stuff is tagged so you can jump to that. Jesse – Yes, please!4.
