New TVI for a school

This is a WISH LIST item for me.  I will begin with an example.  If I am serving Tulsa PS and the point of contact is TVI, Jane Doe, her contact information including email address and work phone number are listed for every student.  This way we know when looking at individual students, what TVI to contact.  The problem is turnover and how this affects our KLAS maintenance.  If Jane Doe leaves the following year (or sometimes during the school year), we have a new contact person for that school district.  While we change that on the main Patron holding for Tulsa PS, we then have to go to every individual student in that district and update the email and phone number.  Needless-to-say, this is quite time consuming and I have always wondered why changing the responsible patron information would not translate to the students under that party.  This is something I would like to see in the future.

Interesting thought!
So this would essentially be adding another record as a 'contact', so when the preferred contact info on that record changes, any students with that record as a contact only show the current version. I'll ask if this is feasible.
Anyone else jumping up and down at the thought?

I was looking for something else and came across this topic. I know it is older but wanted to share a little how we set up our relationships in MNCC Minnesota State Services for the Blind. Disclaimer we are not an IRC, but we do work with our Department of Education to provide material to K12 students so we use many IRC functions.

For use we currently decided to have 3 Patrons for our Department of Education Requests they are:
  • District
  • District Requestor
  • Student
Our District Requestor generally is the TBVI but could be another person at one of the schools which is why we have them as a District Requestor. When we create a Material Request we have the District, District Requestor, and Student. This creates the relationships between the Patrons.

Our District Requestors have relationships of
  • Works For the District
  • Requests For the Student - we use requests for instead of teaches because our districts could have someone other than a teacher making the request.
What this allows us to do is manage the relationships between the District, District Requestor (TBVI), and Student without having to duplicate the contact information to the student. We would use the relationship information to determine which district and requestor the student is active for. Although currently since we are not the IRC we do struggle to keep things correct as we are several layers removed.

We also have some TBVIs that can travel between some of our school districts so we can see the relationship from the Individual Requesting the Material and our School Districts and Students. For District Requestors we can have multiple mailing addresses so as we create material requests we actually use the address from the District Requestor to send material. We just add the School Information as contacts once on the District Requestor instead of on all students.

We use the Attention line on the MR to then put our student Id so when the address label prints it has the Requestor's Name, Attention Student ID (not the name for privacy) and then the selected school address.

If we got new requestor the next year we create a single relationship to the district and then a relationship to the students as we get requests for them. In theory we could go to the previous District Requestor and Inactive their Patron record and the relationships to the students.

Hope this description makes sense.
Matt
