If a Dup Order gets into Error status, it will linger in KLAS and on your Gutenberg until that order is either duplicated successfully or Cancelled. These orders don't necessarily hurt anything, at least not right away... but they can build up over time, and they can block the Batch Patron Status Review tool from deleting records with lingering Error orders.

It's best to address these orders and get them closed out, and it can be easier to do so if you catch the Error sooner rather than years later. Fortunately, there's a report you can schedule to help you stay on top of these: the Dup Order Status Report.

To schedule a weekly Error report:
  1. In the Patron module, use the Reports menu to open Statistics - Duplication Order Status.
  2. Set the Current Order Status to Error. All other fields should be left blank (for the scheduled version, at least--if you haven't been on top of your errors, you could start by filling in the "Date Created" range for Orders over a year old, and clean those out first). 
  3. Set the Output Parameters to Email and enter your address.
  4. Select Run as Batch Job, and schedule the report to run Weekly, on your choice of day and time. 
  5. Select OK. You can then close out of the Duplication Order Status report--your results will be emailed to you every week, automatically!
To cancel an Order:
  1. Copy (Ctrl-c) the Dup Order Number from the report.
  2. In Patron Find (Ctrl-f), Paste (Ctrl-v) the number into the Order Number field and press Enter. KLAS will take you to that patron, and select that order on the Orders tab.
  3. Use the Functions menu to select Duplication Orders - Cancel Duplication Order
  4. For Scribe, the Order will be Cancelled immediately. For Gutenberg, the request to Cancel is sent to your Gutenberg; if the order is set back to Error in the next Sync, contact NLS for assistance.

Just as a real world example, I have this report run every day at noon so I can catch any errors after the morning duplication batch finishes up.
I also recommend having it catch any orders in Title Copying status as well. Those you can simply Assign again.

And if you really want a long report, I also track Order Created and Assigned, to review any orders that have been in that status for a while (normally a month+ will catch my attention). I do this sporadically.

What should we do if we run the Duplication Order Status report, but the orders are so old that nothing comes up in KLAS when I search for them? I suspect the patron accounts that these orders are under have been deleted from our system at this point.

Thank you for checking! For these orders, you can use the Restore Deleted Patron tool to bring the patron record back, cancel out the errors, then re-delete the record.

Restore Deleted Patron is in the Patron module, in the Tools menu.

It will allow you to search by Patron ID (included in the Dup Order Status Report), review the patron's information, then "Restore this Patron."
