Stopping cassette circulation was created by nancy
There are two ways to stop circulating cassettes: you can stop the supply of cassettes or you can stop the demand for them. The best option is to handle both simultaneously.
*Demand*
The demand for cassettes comes from your patrons, specifically the cassette medium on the patron profile record. You can query to find out who is still actively using cassettes.
On the Quick Query screen, choose options that will narrow down your search. Examples include:
Patron Type - Begins - P (individual patrons)
Main Status - Begins - A (only active patrons)
Pat Medium - Begins - C (look at the cassette medium on the profile)
Medium Status - Begins - A (only active cassette medium)
On the Advanced Search screen, you'll be looking for particular characteristics that would help you identify the active cassette users. You may need to do several searches, as combining the options could lead you to zero hits. These characteristics include:
Media - LastServedDate - IsBetween - (set your values to a reasonable recent date range, like 01/01/2017 - 06/30/2017)
Media - #Requests - IsBetween - (set values to find patrons who have a lot of requests)
Media - #Reserves - IsBetween - (since reserves get filled even if a person is OnDemand service, you should check these people)
Media - ServeCode - Begins or Equals - (Use the values in your system that are equivalent to nightly service, particularly automatic selection from subjects. These people have the possibility to get cassette books even without any requests on file.)
Once you have your query results, you can get into the query set and move through the list of patrons. Actions could include setting the statuscode on the cassette profile record to Inactive and/or using the Bulk Requests function to move the cassette requests/reserves to the DB version.
In addition to deactivating the medium for patrons, you can remove cassette as an option for the nightly subject selections. If you are uncomfortable with updating this, please let Keystone Support know. We'll be happy to take care of it for you.
*Supply*
The supply is your inventory of available cassettes. Run the Holding Summary report in the catalogue module to see how big of a supply you have. You can limit this report to cassettes by using the KLASID range RC0 - RCz.
Once you've identified how many available cassettes you have, you can use the Batch Update Items function (on the Tools menu) to change the those cassettes to WDR. The Batch Update Items function can also be used to purge cassettes from your collection. NOTE: Purging is the only way to remove those cassette items from the counts displayed on the Holding Summary report.
In addition, you can suppress the cassette titles from the webopac, if they aren't already. Suppressing all cassettes is a reasonably easy task with the new webopac - just let us know that you want it done.
So, in summary:
- Find and deal with the patrons who could potentially receive cassettes
- Remove cassettes from inventory
